We are the data controller for the personal data described here, and we are registered with the Information Commissioner’s Office under registration reference ZC242991.

Candidates. Name, contact details, CV, work history, qualifications, current and expected pay, notice period, location and work preferences, right-to-work status where a role requires it, interview and assessment notes, and references where you have agreed to them.

Clients and contacts. Name, job title, employer, business contact details, and a record of our correspondence.

We obtain this either directly from you, or from sources you have made available for recruitment purposes: professional networking sites, job boards, and your employer’s public website. Where we approach you from a public source, we tell you so in the first message.

If you are a hiring manager or a business contact rather than a candidate, we may hold your name, job title, employer and work contact details without ever having heard from you. We obtain these from sources including public job advertisements, your employer’s website, professional networks such as LinkedIn, and business contact enrichment services. We do not buy consumer marketing lists.

We use this to contact you about recruitment services relevant to your role, relying on legitimate interests. We assess that a short, relevant approach about a vacancy you are advertising is something a hiring manager would reasonably expect. If you disagree, say so and we will stop.

You have the same rights over this data as anyone else, including the right to object to it being used at all. Email harry.obeng@westcombetalent.com and we will remove you. We keep a minimal suppression record afterwards so we do not contact you again by mistake.

Legitimate interests. To provide recruitment services: matching people to roles, assessing suitability, introducing candidates to clients, and maintaining the business relationship. We have weighed this against your rights and consider it proportionate to what recruitment necessarily involves.

Consent. To send your details to a specific named client, and to keep you on our network when there is no active role. You can withdraw consent at any time.

Legal obligation. Right-to-work checks, tax and employment agency record-keeping.

Contract. Where we are placing you and need your data to perform that agreement.

Your CV and details go to a client only with your specific permission for that specific role. We never circulate CVs speculatively.

We also use service providers who process data on our behalf under contract: our CRM and email providers, our website host, and, for contract placements, a payroll and invoicing back office. We do not sell personal data to anyone, ever.

We use software, including AI tools, to help draft documents, organise records and search for candidates. No decision about your suitability for a role is made by a machine. Every shortlist decision is made by a person who has spoken with you.

Candidate records: two years from our last meaningful contact, then deleted, unless you ask us to keep them longer or a legal obligation requires otherwise. Placement and financial records: six years, as required for tax and employment agency purposes. Enquiries that go nowhere: twelve months.

Our systems are hosted in the UK and the European Economic Area wherever possible. Where a provider processes data outside the UK, we rely on the UK International Data Transfer Agreement or equivalent safeguards.

You can ask us to give you a copy of your data, correct it, delete it, restrict how we use it, or transfer it elsewhere. You can object to processing based on legitimate interests, and withdraw consent at any time. There is no charge and we will respond within one month.
